Athenian Asset Management & Tracking

v0.4.6 October 6, 2026
Trackable asset records, labels, and WooCommerce-aware operational relationships for Athenian sites.

Overview

Product overview

Athenian Asset Management (AAM) is a WordPress-native asset and equipment operations plugin for businesses that need to track physical production assets, maintenance schedules, valuations, service parts, consumables, and WooCommerce-linked production dependencies in one place.

The plugin creates a structured asset registry inside WordPress, adds maintenance log management, provides a dashboard for upcoming and overdue preventative maintenance, supports printable QR/barcode asset labels, and optionally extends WooCommerce products and variations with asset usage data. This makes it useful for print shops, fabrication workflows, fulfillment operations, equipment-heavy commerce businesses, and Athenian Platform environments where physical equipment directly affects production cost, service readiness, and order fulfillment.

Rather than treating assets as a spreadsheet or disconnected maintenance checklist, AAM turns them into operational records that can be linked to WooCommerce parts, consumables, products, and variation-level production logic.

Developer

Developer starting point

This baseline is generated from the reviewed local technical reference and source folder. Deployed-version parity and external-provider effects remain separate verification steps.

Admin Workflow

Asset Setup Workflow

  1. Create a new Asset record in WordPress admin.
  2. Add a title and optional asset image.
  3. Confirm or allow the generated asset tag.
  4. Enter serial number, manufacturer, model, purchase details, current value, assigned user, and notes.
  5. Assign category, location, and vendor taxonomy terms.
  6. Configure preventative maintenance interval and dates.
  7. Add service parts or replacement components.
  8. Add measured COGS consumables if the asset is part of a production workflow.
  9. Use the Print Labels page to create QR/barcode labels for the physical asset.

Maintenance Workflow

  1. Create a Maintenance Log under the Asset menu.
  2. Select the related asset.
  3. Enter maintenance type, performed date, next due date, cost, and notes.
  4. If the log represents PM/preventative service, AAM updates the related asset’s PM dates.
  5. Use the dashboard to monitor upcoming and overdue maintenance.

WooCommerce Product Workflow

  1. Open a WooCommerce product.
  2. Select the Assets (AAM) tab.
  3. Attach one or more AAM assets used to make or support the product.
  4. Define how much of the asset’s measure unit is used per finished product unit.
  5. Optionally choose or override consumables.
  6. For variations, paste canonical JSON to override the parent product usage definition when required.

Bootstrap Flow

The main plugin file defines version/path constants, safely loads the core plugin class, and boots on plugins_loaded.

AAM_AssetManager\Plugin loads the supporting classes and registers hooks for:

  • Custom post types and taxonomies
  • Asset and maintenance metaboxes
  • Admin dashboard and label pages
  • Label AJAX lookup
  • Optional WooCommerce integration
  • Activation rewrite flushing

The plugin includes redeclare guards to reduce double-load issues if a loader includes the file more than once.

WooCommerce Integration Details

AAM’s WooCommerce layer is optional and only hooks when WooCommerce is available.

Product Data Tab

The plugin adds a product data tab:

Assets (AAM)

The tab is hidden for grouped and external products and appears with priority 73.

Product Save Flow

On woocommerce_admin_process_product_object, AAM reads aam_asset_usage_json, sanitizes the payload, and stores canonical JSON in _aam_asset_usage_json.

Variation Save Flow

On woocommerce_save_product_variation, AAM reads variation override JSON from aam_var_asset_usage_json[variation_id].

  • Empty variation value deletes the variation override.
  • Non-empty value is sanitized and saved to _aam_asset_usage_json on the variation.
  • This supports inheritance from parent product to variation unless overridden.

Product/Variation Search

The parts and consumables UI can search by:

  • Product title
  • SKU
  • Product ID
  • Variation ID/details

Search results include product/variation type, SKU, status, price text, thumbnail, and calculated unit cost.

Unit Cost Calculation

AAM attempts to calculate unit cost through ATH_COGS_Utils::get_unit_cost() when that helper is present. If unavailable, it falls back to legacy product meta:

  • _ath_cogs_purchase_cost
  • _ath_cogs_purchase_units

If a variation does not provide usable cost data, the helper falls back to the parent product.

---

Security and Data Handling

Capability Checks

  • Asset/maintenance save handlers require edit_post.
  • Dashboard and label pages require manage_options.
  • WooCommerce product/asset AJAX endpoints require manage_woocommerce or manage_options.

Nonce Checks

  • Asset save: aam_asset_save
  • Maintenance save: aam_maint_save
  • Label AJAX: aam_labels
  • COGS/product/asset AJAX: aam_cogs

Sanitization and Normalization

The plugin sanitizes and normalizes:

  • Money values
  • Integers
  • Dates in YYYY-MM-DD format
  • Text fields
  • HTML-limited notes
  • JSON payloads for parts, consumables, and product asset usage

Defensive Implementation Notes

  • The plugin has double-load/redeclare guards in the main file and plugin class.
  • Product/variation asset usage JSON is canonicalized before saving.
  • Asset tags are generated only when missing, preserving stable tags after creation.
  • WooCommerce-specific UI does not load unless WooCommerce is active.

---

Integration with the Athenian Platform

AAM fits into the Athenian Platform as the physical asset and production equipment layer.

Related Athenian Modules

| Adjacent Module | Relationship | | --- | --- | | Athenian Supplier & COGS Tracking | AAM provides asset-level measured consumables and unit-cost context. | | Athenian Pricing & Inventory Control | Asset-linked parts and consumables can inform production cost and inventory planning. | | Athenian Shipment / Fulfillment tools | Asset readiness can influence production and fulfillment execution. | | Athenian Print Forge | Production assets and consumables can map to print/fabrication products. | | Athenian Admin / Operations dashboards | AAM can provide asset and maintenance status for broader operations reporting. | | WooCommerce | Products and variations can reference assets and usage definitions. |

Platform Role

AAM is not just an inventory list. Its strongest platform role is tying physical production infrastructure to the digital commerce model:

Asset → Maintenance → Parts → Consumables → Product Usage → Cost Context

---

Implementation Review Notes

  • The current package is primarily admin-facing; no public frontend shortcodes were detected.
  • No REST API routes were detected in the current source package.
  • No custom database tables were detected; the plugin uses WordPress CPTs, taxonomies, and post meta.
  • Label rendering currently depends on CDN-loaded QR/barcode libraries. Local bundling would be preferable for production environments with strict CSP, privacy, or offline requirements.
  • Product and variation COGS calculations depend on the presence of Athenian Supplier & COGS Tracking helpers where available, with fallback support for legacy purchase-cost/purchase-unit meta.
  • The product/variation asset-usage model is JSON-based and designed for structured handoff to deeper pricing, COGS, and production workflows.

Troubleshooting

Baseline review boundary
  • This baseline is generated from the reviewed local technical reference and source folder. Deployed-version parity and external-provider effects remain separate verification steps.
  • Confirm the deployed plugin version, active dependencies, and current repository tree before using implementation details as a release contract.
  • Treat payment, carrier, vendor, shipment, inventory, account, credential, and external-provider behavior as integration-dependent until exercised in the target environment.

FAQ

What is this page intended to establish?

A versioned, product-linked starting point for iterative developer documentation. It combines the local implementation reference with a compact detected-code inventory and a committed GitHub baseline.

Is the linked repository baseline verified?

Yes. The repository URL, ref, and commit recorded on this page were verified from the clean GitHub baseline prepared for this documentation pass. That does not by itself prove fleet deployment parity.

What remains for release-grade documentation?

Reconcile the recorded source baseline with the deployed plugin version, then exercise the relevant authenticated, store, provider, payment, carrier, or generated-artifact paths in the target environment.
